Problem

Creating reports can be a tedious task for many people who have to frequently do it. It involves taking large amounts of data and organizing it in a way that is easy for people to understand. Even though creating reports has been around for a while, many are yet to find their way around the hassle involved.

A client of ours in the health and safety niche told us his biggest challenge was the amount of time spent creating reports after inspecting his clients’ premises. According to him, a home visit took about 2 hours of inspection, but the report writing could take much longer, depending on the intended level of details. A commercial building could take up to a month to inspect and another week to put together a report.

Even though his team worked with a standard template, they were unable to collect all photos taken at a client site with a specific client. This was made even harder because the photos were taken on individual employees’ phones and not stored in a central database.

Our Solution

The tailored solution was to build a platform that allowed our client to add the following information into 1 specific database

  • Employees
  • Clients
  • Client branches
  • Scheduled visits and
  • Reports

The team members were impressed from the first moment. They had never seen anything like it – a solution that allowed clients to make notes on-site and update the database in real-time. On completion of the inspection, the employee would simply complete the report and submit it to his manager for review.

The manager would then review the report and make changes or approve if everything was captured correctly. On approval, a notification would be sent out to the client, requesting that he or she onto the system and view the report.

If the manager did not approve the report, he would request the inspector (who is still on-site) to make changes or inspect other areas of the site.
